2004 National Match Lodging Procedures

 

The National Match 2004 Lodging procedures are as follows, please read over these procedures carefully. If you have questions please call us by using our main number (614) 336-6214. For reservations, please call our main number or 1-888-889-7010.

 

Types of Lodging:

Modules – 2 Single Beds $46.76 per night (Modules are rented by the room)
Huts – 4 Single Beds $44.00 per night (Huts are rented by the room)
Barracks - 1 Single Bed $11.00 per bed, per night
(All cottages, motels, and some modules and huts will be used by support personnel.)

 

Lodging Priorities are as follows:

1st Priority Support Organizations (NRA, CMP, 88th RSG, OHANG, Commercial Vendors)
2nd Priority Jr. Teams (Affiliated Clubs or State Association entering Junior Teams)
3rd Priority Adult Teams Sponsoring Jr. Teams (Affiliated Clubs or State Association)
4th Priority Adult Teams (Affiliated Clubs or State Association)
5th Priority Special Needs (Require Doctor's Statement for Competitor)
6th Priority Individual Competitors

 

Support Personnel

Support Organizations must submit their reservation request in writing by October 31, 2003. Commercial Row Vendors are limited to no more than two modules or huts per contracted vendor.

 

Junior Team/Team Reservations (NM2004 Team Lodging Request Form)

Priority will be given to Teams which have entered Junior teams in the 2003 National Matches and have committed to enter a Junior Team in the 2004 National Matches.

Must be able to provide proof of NRA/CMP Affiliated Club or State Association. This is critical, as this information will be verified through the NRA/CMP prior to processing your reservation request.

Each Organization or Club may only submit one junior and one adult team request for each of the National Match phases. Duplicate adult or junior team request forms will cause elimination of all reservation requests submitted.

Reservations will be processed on a first received, first serve basis.

Team Reservations will be coordinated by a single individual, this Point of Contact must provide and be responsible for the following:

  • Complete a 2004 National Match Team Form, forms available at the Clubhouse Rental Office or on our website www.cpmr-oh.org.
  • Request the total number of beds/lodging units with arrival and departure dates.
  • Submt team reservation request form, request must be completed and postmarked between March 1, 2004 and March 31, 2004.
  • Provide a roster of team members by July 1, 2004.
  • POC will receive confirmation, and after receiving confirmation will be required to make deposit payment on all reservations confirmed. Deposit payment is equal to the first night's rent on each bed/rental unit reserved, and is a non-refundable payment. This deposit payment is not submitted with reservation request, payment will be requested after confirmation has been received by Team P.O.C., deposits must be received within 14 days after confirmation notification to guarantee reservations. Each confirmed room's or bed's , first night's rent is based on the deposit applied to that room/bed only, if the room/bed is cancelled at any time, this deposit is forfeited. Deposits are transferrable when upgrading types of accomodations.
  • POC will be responsible for all changes and cancellations to reservations and updating team roster.
    • Cancellations should be accomplished 24 hours prior to confirmed arrival date.
    • Change to reservations must be made prior to check-in. Once the reservation has been checked-in, the renter is obligated to pay the full rental amount. No refunds will be given for early departure.
  • Pick-up and sign for all reservations at the rental office on arrival date, check-in time for all reservations is 2:00 P.M. until 10:00 P.M., insure rental unit is cleared and all keys returned on the morning of departure, checkout must be accomplished no later than 10:00 A.M.. Reservations, which are not picked up by 10:00 P.M. on the arrival date, will be considered cancelled, unless arrangements have been made with the Clubhouse Rental Office prior to the 10:00 P.M. cut off. Additional charges will be incurred for late check-outs and no show/failure to cancel reservations.
  • Responsible for payment in full on all reservations and any additional costs incurred by any member of your team during their stay.
  • Insure that all team members are aware of the National Match Lodging procedures.
  • Must insure all team members complete and return Clubhouse liability release forms.
  • Must insure all team members complete and return Post Locator Cards to the appropriate office.

*Military Teams should continue to contact Camp Perry Logistic and complete the necessary forms for military barracks for NM2004 Lodging. Military Teams who wish to request module or hut lodging will submit a team packet based on the above Jr. Team /Team Reservation criteria, and will be given a 3rd priority on quarters. Do not submit a Clubhouse Team Reservation Request if you have already submitted a request for barracks through Camp Perry Logistics.

 

Special Needs Competitors (NM2004 Special Needs Lodging Request Form)

Those competitors, which require specific accommodations due to medical conditions, will be given 5th priority. A limited number of modules will be held for these competitors.

Competitors must obtain the Special Needs Reservation Request form, these are available at the Clubhouse Rental Office or on our website www.cpmr-oh.org.

Reservations will be processed on a first received, first serve basis.

Reservation requests must be submitted and posted marked between March 1, 2004 and March 31, 2004. Apply only once! Duplicate request forms will cause elimination of all reservation requests submitted.

A current doctor's statement for the competitor, (dated within the last 12 months) must be attached to the reservation request form.

Once your reservation has been confirmed you will be required to make a deposit payment on confirmed reservation. (Deposit payment is equal to the first night's rent on each bed/rental unit reserved, and is a non-refundable payment). This deposit payment is not submitted with reservation request. Deposit payment will be requested at time of confirmation, deposits must be received within 14 days after confirmation notification to guarantee reservations. Each confirmed room's or bed's, first night's rent is based on the deposit applied to the bed/room only, if the room/bed is cancelled at any time, this deposit is forfeited. Deposits are transferrable when upgrading types of accomodations.

Checkout must be accomplished no later than 10:00 A.M. on your departure day. Additional charges will be incurred for late check-outs and no show/failure to cancel reservations.

 

Individual Competitors

Reservations will only be accepted by telephone, beginning on April 27, 2004, and are assigned on a first come, first serve basis.

You may telephone the Clubhouse Rental Office at 1-888-889-7010 or (614) 336-6214 between the hours of 9:00 A.M. and 9:00 P.M. EST, Tuesday through Friday. No written requests will be accepted for the NM2003 lodging, except team and special needs mentioned above.

When calling to book your lodging:

  • Know your arrival and departure dates
  • Names and addresses of your roommates, if any.
  • Credit Card (MC, VISA, or American Express), a non-refundable deposit will be required when making your reservation. The deposit fee will be processed and charged to your credit card account at the time of your call. (Deposit payment is equal to the first night's rent on each rental unit reserved, and is a non-refundable payment). Each confirmed room's or bed's, first night's rent is based on the deposit applied to that room/bed only, if the room/bed is cancelled at any time, this deposit is forfeited.
  • You will be given a confirmation number at the time of your call. No confirmation letter will be sent. Please keep this number somewhere safe, you will need to have this number to make changes and at check-in
  • Cancellations should be accomplished 24 hours prior to confirmed arrival date.

  • Requestor must be 18 years of age or older to request reservations. Proof of age may be requested upon check-in.
